Bringing Communities Together
Working with us
Clear Communication. Fair Processes. Community-Focused Events.
At Prairie Community Events, we believe that working with an event organizer should feel straightforward, transparent and professional.
Whether you are joining us as a vendor, entertainer, nonprofit organization, community partner or venue, we want you to know what to expect when working with us.
This page explains how we manage applications, approvals, payments, communications and event information, as well as how you can verify that correspondence you receive genuinely comes from Prairie Community Events.
Vendor applications should be submitted through the official Prairie Community Events website or through an application link provided directly by our team.
Submitting an application does not automatically guarantee acceptance into an event.
Applications are reviewed individually to help us create a varied and balanced event while considering factors such as:
Product or service category
Similar or duplicate vendors
Suitability for the particular event and audience
Available space
Venue requirements or restrictions
Overall vendor mix
Our goal is not simply to fill spaces, but to create events that provide a positive experience for vendors, venues and visitors alike.
Once an application has been reviewed, Prairie Community Events will contact the applicant regarding the outcome and next steps.
Some of our events are held in shopping centres, malls or other managed properties where the venue or property management team also reviews or approves participating vendors.
When secondary venue approval is required, final confirmation may take a little longer. We appreciate your patience while this process takes place.
A decision not to approve an application is not necessarily a reflection on the quality of a business or its products. In some circumstances, a category may already be represented, space may be limited, or the venue may have restrictions relating to existing retailers, products or services.
Where possible, we are happy to suggest another Prairie Community Events opportunity that may be a better fit.
Approved vendors will receive confirmation directly from Prairie Community Events together with the appropriate next steps.
Depending on the event, this may include:
Vendor fee
Payment instructions
Payment deadline
Event dates and times
Venue-specific requirements
Additional information required to finalize the booking
A vendor space is not considered fully confirmed until all required approvals have been received and the applicable vendor fee has been paid, unless otherwise confirmed by Prairie Community Events in writing.

This is, and has always been, a legitimate Prairie Community Events email address.
As our organization continues to grow, we are transitioning our primary communications to our official @prairiecommunityevents.com domain email addresses.

Our original Gmail address prairiecommunityevents@gmail.com will remain active during this transition; however, our official domain email addresses will increasingly become our primary method of communication.
For your protection, we encourage vendors, partners and community organizations to check the complete sender email address when receiving correspondence claiming to be from Prairie Community Events.
This is particularly important when an email relates to:
Vendor applications
Application approvals
Payment requests
Changes to payment information
Event bookings
Requests for personal or business information
An impersonating email address can appear extremely similar to a legitimate address.
The difference may be as small as one missing letter, one additional character, a substituted letter or a different email domain.
Please do not rely solely on the sender name displayed in your inbox. An email displaying the name “Prairie Community Events” does not, by itself, confirm that the message originated from us.
Always check the complete sender email address against the official contact information published on our website.
If an email address differs from our published contact information — even by a single character, please do not send payment or provide sensitive information until you have verified the communication directly with us.
If you are ever uncertain, please contact us using the information published on our official website.
We are always happy to verify a communication before you proceed.
Prairie Community Events provides payment instructions as part of our normal vendor approval and confirmation process.
Vendors should generally expect to have applied for an event and received communication regarding their application before being asked to make a vendor payment.
Payment methods and deadlines may vary depending on the event and will be clearly communicated as part of the booking process.
Before Making a Payment
Please ensure that:
You recognize the event for which payment is being requested.
You have applied for or previously communicated with Prairie Community Events regarding that event.
You have received the appropriate approval or confirmation.
The amount requested corresponds with the vendor information you have received.
You have checked the complete sender email address.
Any payment instructions are consistent with those provided by Prairie Community Events.
If you receive unexpected payment instructions, a change in payment details, or a request that does not correspond with your previous communication with us, please contact Prairie Community Events directly before sending funds.
We would much rather you take an extra moment to verify something with us.
Current Prairie Community Events opportunities and event information are published through our official website.
From time to time, we may also promote our events through social media, community groups, advertising platforms, venue partners and other promotional channels.
If you discover an event application or payment request somewhere other than our website and are unsure whether it is genuine, please visit our official website or contact us directly before proceeding.
Once your vendor space has been confirmed, additional event information will be provided as it becomes available.
Depending on the event, this may include:
Setup and teardown times
Vendor entrance and access information
Parking information
Booth or table requirements
Venue rules and policies
Floor plans or placement information
Power availability
Event-day contact information
Promotional opportunities or vendor spotlights
Some information, particularly final floor plans and vendor placement, may not be available until closer to the event.
We will endeavour to provide confirmed vendors with the information they need in sufficient time to prepare.
Different venues and events may have different requirements, and any event-specific rules will be communicated to participating vendors.
We ask all vendors to present their space in a professional, welcoming manner and to comply with applicable venue, health, safety and event requirements.
Vendor Licensing, Permits & Alberta Health Services Requirements
Prairie Community Events operates in accordance with applicable market guidelines and regulations.
All vendors are independently responsible for ensuring their products, services and business activities comply with applicable municipal, provincial and federal requirements.
Where applicable, vendors must obtain and maintain any necessary business licences, permits, insurance, approvals and certifications.
Food and beverage vendors are responsible for complying with all applicable Alberta Health Services (AHS) requirements, including food safety standards, safe food handling practices, food handling certifications, permits and notification requirements where applicable.
Vendors must ensure that all required documentation is valid and available for inspection upon request.
Participation in a Prairie Community Events market does not exempt vendors from their individual legal or regulatory obligations.
If you are unsure whether something is required, please ask us and we will provide any venue information available to us or direct you to the appropriate authority where possible.
Cancellation, transfer and refund conditions may vary depending on the event, venue commitments, timing and circumstances.
Applicable conditions will be communicated through the vendor terms or event information.
Where circumstances outside our control affect an event, Prairie Community Events will communicate directly with affected vendors regarding the options available.
Our aim is always to communicate changes as promptly and clearly as reasonably possible.
Information provided through a Prairie Community Events application is used for purposes connected with reviewing applications, communicating with applicants, administering events and maintaining appropriate event records.
We may also need to provide relevant business or product information to a venue or property management team where their approval is required for participation.
Prairie Community Events will never require your online banking password, banking login credentials, email password or other account passwords as part of a vendor application or payment process.
Please never provide this type of sensitive information in response to an email or message claiming to be from us.
If you are ever unsure whether an email, application, event listing or payment request genuinely belongs to Prairie Community Events, please verify it with us directly.
